Would the right people know where to begin?

In many businesses, the owner carries knowledge that is never fully documented. Banking relationships, key contacts, payment arrangements, operational decisions, and ownership expectations may depend heavily on one person.

When illness, incapacity, or death changes that arrangement, the business and the owner’s family may face urgent questions:

  • Who needs to be contacted first?
  • Who handles essential responsibilities, and who would take over?
  • Where are ownership agreements, insurance policies, and financial records?
  • What preparations exist for transferring or selling the ownership interest?
  • Who can help establish a credible business valuation?
  • What happens to separately owned buildings and the income they provide?

Prosperity Business Care helps you organize the answers and identify unresolved questions while you can still provide direction.

Turn preparation into information others can use

A continuity plan becomes more useful when the people who may need it can locate the supporting information and understand their next steps.

Prosperity Business Care helps you organize:

  • Business and ownership information: Entities, ownership interests, partners, and key relationships for each business.
  • Professional contacts: Attorneys, CPAs, financial professionals, insurance contacts, lenders, and other trusted resources.
  • Financial and insurance information: Institutions, account references, obligations, policies, and locations of supporting records.
  • Property and building details: Ownership records, leases, financing, maintenance contacts, and property management arrangements.
  • Legal and ownership document locations: Existing operating agreements, shareholder agreements, buy-sell agreements, and related records.
  • Essential responsibilities: Who handles each responsibility now, who would take over if needed, and where instructions are kept.
  • Ownership transfer and valuation preparation: Existing arrangements, intended outcomes, unanswered questions, and contacts for qualified professional support.
  • Leadership expectations: Priorities for employees, customers or patients, suppliers, and family communication during a transition.
  • Updates and access instructions: Where the current information is kept and who should know when it changes.

The result is a practical starting point for the people responsible for helping the business and your family move forward.

What does the Business Care packet include?

Prosperity Business Care Introduction

An explanation of the purpose of Business Care, the needs it addresses, and the value of preparing before the owner’s role changes unexpectedly.

Business Care Information Organizing Guide

Explanations, examples, and instructions that help you gather information and identify questions to discuss with your leadership team, family, and professional advisors.

Business Information Organizer

A structured place to record essential business information, document locations, contacts, responsibilities, and continuity preparations. It becomes a reference you can update as the business evolves.

You do not need every answer before you begin. Start with what you know, identify what is missing, and build a clearer picture over time.

Strengthen your preparation with two optional products

Every business has different needs. Two additional products are available for separate purchase to complement your Prosperity Business Care packet.

The Vault

Prepare for the digital information behind business continuity.

Knowing which systems and accounts the business uses is only part of the picture. The appropriate person may also need to understand how authorized access can be obtained.

The Vault is a separate, password-protected document for organizing sensitive access information, such as user IDs, passwords, PINs, and account recovery instructions.

It provides a designated place for details that should be kept separate from the business information you routinely share with family members, employees, or advisors.

Identify the trusted person who should know where The Vault is kept and establish how that person can obtain its password when needed. Record authorized access arrangements and relevant contacts for banking, business software, and other essential systems.

Access remains subject to the provider’s rules, company permissions, and the person’s legal authority. Sensitive employee, customer, and patient records belong in the business’s approved systems.

The Vault helps answer: “How will the appropriate person find the access information they need?”

Optional product. Available for purchase in addition to the Business Care packet.

Bill Pay Organizer

Help the next person understand what needs to be paid—and how.

Business and property expenses continue when the owner cannot lead. The Bill Pay Organizer is an Excel spreadsheet that brings recurring obligations and payment details into a practical reference.

It helps you record:

  • The expense, payee, and due day.
  • The expected amount, including whether it varies.
  • The payment source and method.
  • Whether payment is automatic or requires action.
  • Who handles the payment now and who would take over if needed.

Three tabs support the process:

Recurring Bill Schedule

A central list of monthly, quarterly, and annual obligations, including payment arrangements and responsible people. Account nicknames can distinguish separate businesses or properties.

Monthly Payment Check

A place to record payments, confirm completion, and identify items that still need attention.

Instructions and Updates

Guidance for using the organizer and keeping a record of reviews and changes.

Use it for recurring expenses such as rent, utilities, insurance, equipment financing, software subscriptions, and property costs. Payroll and tax obligations should continue through the established professional and approval processes.

The spreadsheet helps track and verify payments; it does not send payments or connect to bank accounts.

The Bill Pay Organizer helps answer: “What needs to be paid, which account funds it, and who needs to act?”

Optional product. Available for purchase in addition to the Business Care packet.

Three tools with complementary purposes

Prosperity Business Care organizes the broader picture

Your family, designated leaders, and advisors can identify important information, locate records, contact professionals, and understand responsibilities.

The Vault organizes sensitive access details

You can prepare a separate reference to support trusted, authorized access to essential systems and accounts.

The Bill Pay Organizer organizes recurring payment responsibilities

The appropriate people can understand the payment routine and track obligations that need attention.

Choose the additional products that fit your business and the preparation you want to put in place.

Make the handoff clearer before it is needed

Consider a hypothetical practice owner who manages banking relationships, communicates with the CPA, and owns the building separately from the practice.

The owner’s spouse may know the practice is successful without knowing how ownership would be addressed, where financial records are kept, or which building expenses require attention.

Business Care helps identify the existing ownership arrangements, locate supporting agreements, and record contacts for a qualified valuation firm familiar with that type of business—whether a dental practice, physician’s practice, or manufacturing company.

If the intention is for a surviving spouse to retain 100% ownership of separately held buildings, that objective can be documented for review with the appropriate advisors. Property records, leases, and management contacts can be organized separately from the operating business, including arrangements for a property management company to handle ongoing details.

The Bill Pay Organizer can document recurring business and building expenses. The Vault can hold sensitive access information separately. Together, these tools give the appropriate people a clearer starting point.

Recording an intention does not itself transfer ownership or establish authority. Your professional advisors help put the necessary arrangements in place.

Continuity grows stronger when the information reflects the business’s current circumstances.

Who is Prosperity Business Care for?

Prosperity Business Care is designed for owners who want to reduce uncertainty for the people who depend on their business, including:

  • Owners of dental practices, physician practices, and other professional businesses.
  • Entrepreneurs and owners of manufacturing, service, or other operating companies.
  • Owners of multiple businesses or locations.
  • Partners who want clearer information about continuity responsibilities and existing ownership arrangements.
  • Owners whose spouses or family members may inherit responsibilities without day-to-day business experience.
  • Owners who also hold business buildings or other income-producing property.

You do not need to be preparing for retirement or a sale to begin. You need a business that others depend on and information they may one day need.

Frequently asked questions

We already have ownership agreements. Why would we need Business Care?

Agreements serve an important purpose. Business Care organizes the practical information around them: where they are kept, whom to contact, which arrangements exist, and which responsibilities need attention.

Does Business Care arrange an ownership transfer or provide a valuation?

Business Care helps organize existing arrangements and identify the information and professional support needed. Ownership transfers and valuations require separate professional work. A qualified valuation provider should understand your industry, business structure, and the purpose of the valuation.

Can the business and its buildings be addressed separately?

Yes. The organizer can distinguish the operating business from separately owned real estate and record the intended arrangements for each. This helps you discuss continued building ownership, rental income, leases, and property management with the appropriate advisors.

Are The Vault and Bill Pay Organizer included in the core packet?

They are optional products available for separate purchase. They complement the Business Care packet and strengthen specific areas of your preparation.

Do we need to complete everything at once?

No. Begin with what you know, note missing details, and return to those items as you gather answers from your team and advisors.

Can we share our completed organizer?

Yes. You may share it with trusted family members and professional advisors, and provide appropriate information to designated business leaders. Share sensitive information according to each person’s role. Make decisions about access to The Vault separately.

How often should we update our information?

Review it periodically and after important changes, including ownership changes, new financing, property transactions, changes in leadership or advisors, and shifts in responsibilities.

Does Business Care provide legal or financial advice?

Prosperity Business Care organizes information and prepares owners and families to work more effectively with their professional advisors. It does not provide legal, financial, tax, insurance, or business valuation advice.

Continue caring for the people who depend on your business

You have invested years in building something that supports your family and provides opportunities for others.

Preparing today gives your family and those entrusted with the business clearer direction when they may need it most.

Let’s discuss how Prosperity Business Care—and the optional products that support it—can help you prepare.
